Privacy Policy

Host Perch (“we”, “us”) provides a digital guidebook and guest-messaging tool for short-term rental hosts. This policy explains what we collect and why.
Who the data belongs to
Host Perch serves two groups: hosts (our paying customers) and their guests (people staying at a host’s property who view a guidebook link). We act as the host’s service provider for guest data.
What we collect
- Host account data: email, password (hashed), property details, the content you enter into your guidebook, your phone number for notifications, and billing details (processed by Stripe — we never store full card numbers).
- Booking data: check-in/check-out dates and guest names imported from the calendar (iCal) URL you connect.
- Guest data: questions a guest types into the AI co-host, and — only if the guest chooses to provide it — a phone number for stay updates. Guests do not create accounts.
- Usage data: standard server logs (IP, timestamp, page) for security and reliability.
How we use it
- To generate and display your guidebook to your guests.
- To answer guest questions using the content you provide.
- To text you when a guest question needs your attention or an upsell is purchased.
- To text guests offers (e.g. extending their stay) when you have enabled that feature.
- To process subscription payments and guest upsell payments.
Service providers (subprocessors)
We share the minimum data necessary with:
- Anthropic — guest questions and your guidebook content are sent to Anthropic’s API to generate answers. Anthropic does not train on data submitted through its API.
- Twilio — phone numbers and message content, to send SMS.
- Stripe — billing and payment details.
- Cloudflare & our hosting provider — to serve the site securely.
Data retention
We keep host account and guidebook data for as long as your account is active. Guest questions and booking records are retained to provide the service and may be deleted on request. If you cancel, we delete your property and guest data within 90 days unless we’re legally required to keep it.
Your choices
- Guests can decline to share a phone number; the guidebook still works.
- Hosts can edit or delete guidebook content at any time from the dashboard.
- To request deletion of your account and associated data, email us.
Security
Data is transmitted over HTTPS and stored on access-controlled servers. No method of transmission or storage is perfectly secure, but we take reasonable measures to protect your information.
